Sorting and Filtering Data

Learn how to sort and filter data in a spreadsheet to quickly identify the highest costs and view specific categories in your project budget. Practise selecting the full data range to keep formulas intact while creating a useful decision-making view.

    1 - Introduction ~8 mins

    Today you will

    What are the three dearest items in your budget? Could you find them without scrolling?

    2 - Key Concepts ~6 mins

    Watch the board first. Your teacher will show a wrong sort and a right sort.

    • Sort puts whole rows in order by one column, like Cost.
    • Filter hides rows you don't need. Nothing is deleted.
    • Full range means selecting every column of the table before you sort, leaving out the Total row.
    • Header row is the top row of labels, like Item and Cost.
    Watch out

    If you sort only the Cost column, prices move but names stay put. Heat press hire ends up next to the wrong price.

    3 - Step-by-step Task ~22 mins

    Now you'll sort your own budget by Cost and then show one category only. Watch your teacher first, then follow the steps in the box below and tick each one.

    4 - Common Issues ~4 mins

    • My items don't match their costs. You sorted one column on its own. Press {{kbd:Ctrl+Z}}, or {{kbd:Cmd+Z}} on a Mac, then select the whole table and sort again.
    • My headings or Total ended up in the list. Press Undo. Then tick the header box and stop your selection above Total.
    • I think the filter deleted rows. They are only hidden. Open the Category arrow and tick Select all.

    5 - Portfolio Evidence ~10 mins

    Portfolio evidence

    Your goal: Save a screenshot of your filtered budget for your portfolio.
    Time: ~10 minutes
    Task: Watch your teacher take a screenshot first, then:
    1. Check your budget is still sorted by Cost, biggest first.
    2. Check that only one Category is showing.
    3. Take a screenshot with {{kbd:Win+Shift+S}} on Windows, {{kbd:Shift+Cmd+4}} on a Mac, or {{kbd:Shift+Ctrl+Show windows}} on a Chromebook.
    4. Name the file exactly {{code:05_filtered_view.png}}.
    5. Save it in your Project Portfolio, in {{code:05_budget}} if you use it.

    If something looks wrong, fix just that part using the steps from before.

    Success criteria:
    • My budget is sorted by Cost, and each item keeps its own category.
    • Only one Category is showing.
    • {{code:05_filtered_view.png}} is saved in my Project Portfolio.
    • My Total still works when I clear the filter.
