Print Preview, Print Settings and PDF Export

In this lesson you will use print preview to inspect your document's appearance, adjust settings like page range and copies, export the file as PDF for sending, and maintain both editable and PDF versions of your proposal.

    1 - Introduction ~5 mins

    Today you will

    • check your proposal in Print Preview
    • set the page range and the number of copies
    • save a PDF you could send to someone

    Warm-up

    Imagine your work experience supervisor opens your proposal and the last line is cut off. What check do you wish you had done before you sent it?

    2 - Key Concepts ~6 mins

    Print Preview shows each whole page the way it will look when you print it or save it as a PDF.

    Print settings are choices like which pages to print and how many copies you want.

    A PDF is a copy of your document that looks the same on any phone or computer.

    Keep your editable file for making changes, and send the PDF when the work is finished.

    Example

    You keep {{code:03_proposal_draft}} so you can edit it. You email {{code:03_proposal_draft.pdf}} to a club treasurer.

    3 - Step-by-step Task ~15 mins

    You will check a document in Print Preview and then save it as a PDF. Your teacher will tell you whether to use {{code:03_proposal_draft}} or make a practice file. Follow the steps in the box below.

    If you make the practice file, copy these three lines into it:

    I would like to do my work experience at a garage in Ennis, because I enjoy fixing bikes and I want to see how a real workshop runs.

    On placement I hope to help with tyre changes and basic car checks. The skill I most want to practise is talking to customers clearly and politely.

    4 - Common Issues ~4 mins

    Common issues

    • If you can't find {{btn:Download as PDF}} in Word, try {{menu:File -> Export}} instead.
    • If the PDF went into Downloads, that is normal. Rename it and upload it to {{code:03_documents}}.
    • If there is no printer listed, skip printing and just save the PDF.
    • If a picture is missing in the preview, wait a moment and open Print Preview again.

    5 - Independent Practice ~20 mins

    Independent Practice

    Your goal: Save a PDF of your work beside the file you can still edit.
    Time: ~20 minutes
    Task:
    1. Go to {{code:03_documents}} and open {{code:03_proposal_draft}} or {{code:print_practice_sample}}.
    2. Check it in Print Preview for cut-off headings, split tables or pictures, and a wrong header.
    3. Fix what you can. If you don't know the fix, tell your teacher and keep going.
    4. Save it as a PDF called {{code:03_proposal_draft.pdf}} or {{code:print_practice_sample.pdf}}.
    5. Upload the PDF into {{code:03_documents}}, then show your teacher both files.
    Success criteria:
    • My editable file is still saved and opens.
    • My PDF is in {{code:03_documents}} beside it.
    • I checked Print Preview and fixed or noted any problems.
